Administrative Reference Requests
After records are transferred to the university archives, they remain fully accessible to authorized representatives of the unit that generated the records. Once records are processed, public access to the records is governed by the terms and conditions stated in Section 3 of the Records Policy and Procedures Manual. The staff of UARP services requests of an administrative nature relating to previously transferred records. Every reasonable effort is made to respond promptly and efficiently to administrative requests from transferring units.
Loans
If the nature of an administrative request, or the volume of material involved precludes copying or faxing, records will be loaned back to authorized representatives of the creating unit when warranted. Such loans are intended to be of short duration with a specified date of return. To facilitate tracking of loaned records, a loan form is initiated by UARP. The loan form is signed by representatives of both the archives and the generating unit, and includes an agreed upon date of return. The loan feature is only applicable to the unit that transferred the records. Records from the office of origin will not be loaned to a secondary unit.
Non-Administrative Reference Requests
Requests originating from university units that relate to matters of general university history are evaluated, and depending on the nature and complexity of the inquiry, are handled by UARP staff or forwarded to the Bentley's Reference and Access division. All requests for duplication of images or audio-visual material are handled by Reference and Access.
