Instructions for Requests and Duplication

On Monday, September 21, the Bentley Historical Library will re-open by appointment only for U-M faculty, students, and staff. For all researchers, we will continue to receive research requests and duplication orders through our normal online process, however, we will be unable to respond to these requests immediately.

PLEASE NOTE: We updated our research account system on Tuesday, August 18. If you previously registered for your Bentley research account using a UM Friend Account, you will need to reset your password. Please visit our login page, choose “Guest Account”, and click on the “Forgot Password” link to receive a link for resetting your password. Your username will be your email address.

Please follow these instructions to request material for a scheduled Reading Room visit or to order duplication of material. These requests are tracked in your Bentley research account. If you do not have a research account, please see our Research page to register for one.

The majority of our material can be requested from two places:

  • the U-M Library Search catalog
  • a collection’s finding aid (please scroll down to the instructions “How do I request items from the finding aids?”)

Additional material can also be requested from the Alumni Records Index or Vertical File index.

We do have some material stored in an offsite facility. These materials require at least 7 business days’ notice to retrieve. If possible, please place your requests prior to your visit.

How do I Request to View or Order Duplication of Items from the U-M Library Search catalog?

1. Click on the title of the item for see more information.

2. Click Request This (if there is no “Request this” linksee below instructions “How do I Request Items from the Finding Aids?”).

3. If prompted, log in using your research account username and password.

4. Review your request information and if needed, change the publication dates, issue numbers, etc.

5. You will need to set an appointment to view materials in our Reading Room. Please consult our updated hours and select your Date of Visit, and we will email you to confirm your visit date and set a time.

5.5. For duplication orders, click the “Create Duplication Request” button at bottom right of the request page, which adds the duplication form to the bottom of the page:

5.5.a. Type in the specific material you would like copied in the Items to Duplicate box. Choose your Format, Delivery Method, and Service Level from the drop-down menus and mark the check box if this material will be used in a publication.

6. Click the Submit Request button.

7. You will see the request in your account and can monitor its status. The most common status you will see is “Ready for Reading Room Retrieval“. This means that we reviewed your request and research access is allowed. You will also see “Item on Hold,” which means we have retrieved the item from shelving and set it aside for your visit. When you check into the Reading Room, we will have your material (or a selection, if you requested many items) available to view at your research table.

7.5. For duplication orders, you will also see an additional Order Status for the request:

Due to the pandemic shutdown, order processing will take longer than the time periods on our Duplication of Materials page.

 

How do I Request to View or Order Duplication of Items from the Finding Aids?

If you do not see a “Request this” link in the U-M Library Search result record, the collection probably has a finding aid (collection inventory). You can view the box/folder listing and choose folders in the finding aid.

1. Click the “Finding aid” link.

2. Click Contents List of a finding aid, then select one or more checkboxes for folders you want to see (we will retrieve the entire box for you, even if you only select one folder).

2.5. For duplication orders, please select all folders that contain material you want copied.

3. Click the Request button at the top of the Contents List.

4. Review your request information and select a Date of Visit. You need to set an appointment to view materials in our Reading Room. Please consult our updated hours when considering your visit, and we will email you to confirm your visit date and set a time.

5. If you will be visiting the library, click Submit Request. If prompted, log in using your research account username and password.

5.5. For duplication orders, check the “For Duplication?” box at bottom of the request page, which adds a duplication form below it:

5.5.b. Click the Submit Request button.
